Terms of Use

Rules for using the Race Result platform for athletes, buyers, guardians and organizers of sports events.

Version 1 · effective since October 21, 2026

1. The platform and these terms

The Race Result platform (raceresult.app) is operated by Ayan Labs, registered in Brazil under CNPJ no. 66.418.458/0001-73, based in Belo Horizonte/MG, Brazil ("Ayan Labs"). It offers organizers of sports races tools to publish events, receive registrations and payments, run the timing and publish results, and offers athletes the registration, the ticket, the results and the Athlete area.

These terms apply to anyone who uses the platform: the athlete; the buyer, who registers another person; the legal guardian, who registers a minor; the organizer and the members of its team. The organizer accepts these terms when signing up on the platform, and the acceptance is recorded with the version and the date. For everyone else, creating an account or completing a registration means agreeing to these terms.

The Privacy Policy (raceresult.app/en/legal/privacy/v1) explains how we process personal data and is part of these terms. Each event also has the organizer's rules (the event rules and, when there is one, a liability waiver), accepted in the registration.

2. The role of each party

The organizer is the one who runs the event and is responsible for it: the rules, the course, safety, permits and licenses, prizes, kit delivery, support to participants and the rules for cancellation, transfer and refund, in compliance with the law, including the Brazilian Consumer Protection Code.

Ayan Labs provides the platform and operates the payments through Stripe (card) and Banco Inter (Pix). Ayan Labs does not organize the events published by the organizers.

3. Account

Registering for an event does not require an account. To enter the Athlete area or the organizer dashboard, you need an account, with your own email confirmed by a link or by signing in with Google. You must provide true information, keep your password secret and tell us at contato@raceresult.com.br if you suspect misuse. Actions taken with your account are your responsibility.

Ayan Labs may block an account used for fraud, abuse or breach of these terms, ending its open sessions.

4. Registration and ticket

Whoever makes the registration declares that the information provided is true and that they have read and accept the documents required by the event. Whoever registers another person (buyer) declares that they are authorized by that person to make the registration and to provide their data, and accepts the documents on their behalf; the athlete may confirm the acceptance later, on the ticket. The registration of a minor is made by the legal guardian, who accepts the documents on the minor's behalf and gives the Guardian Authorization (raceresult.app/en/legal/guardian/v1).

Team registration (Fitness Race): it is a single registration for the team, and the athlete of the registration is member 1. Whoever registers provides the team name, the full name of the other members and, if they wish, their email, accepts the event documents on behalf of the team and declares that all members know the event rules and are 18 or older or, if under the age of majority, that each one's legal guardian authorized their participation and the publication of their full name in the result. Members 2 to 4 do not provide an age and their name appears in full in the public result, as typed. By providing the members' data, whoever registers also declares that they are authorized by them (or by the guardians) to do so and that the members know that the full name of each one appears in the public result and that the email, if provided, receives the result.

A registration is only valid when confirmed: when no payment is due, when the payment is confirmed or when the organizer declares the payment made outside the platform or the complimentary entry. The spot is held for a period for payment; without it, the hold expires and the spot goes back to the event.

Each registration has a ticket, opened through a secret link sent by email, with the QR code used at the race kit pickup. The link is personal: anyone who has it can see the ticket. It can be replaced with a new one through the Athlete area or by the organizer.

An athlete may not have two active registrations in the same course. In different courses of the same event, only when the organizer allows it. Changes of course, category or data after the registration follow the organizer's rules.

Using another person's data without authorization, providing false information or getting around the minimum age or the category may lead to the cancellation of the registration, according to the event rules.

5. Price, payment and refund

The price, the service fee (when charged to the athlete) and the total are shown before payment. Payment is made by card, on Stripe's page, or by Pix, charged to Ayan Labs' account at Banco Inter.

For cards, Stripe transfers the amount to the organizer's payout account at Stripe, and the platform fee stays with Ayan Labs. For Pix, the amount is received by Ayan Labs and paid out to the organizer, minus the platform fee, through the Pix key of the organizer's CPF or CNPJ: the balance becomes available for payout a few days after the end of the event, and the payout is requested by the organizer and sent by Ayan Labs. Before that, the organizer may request an advance of what has already been received by Pix, which Ayan Labs approves or refuses.

Cancellation, transfer and refund follow the event rules and the law, including the right of withdrawal under the Brazilian Consumer Protection Code. The request must be made to the organizer. A refund through the platform is made by the same payment method, and the athlete receives an email notice.

If a payment is confirmed when the registration can no longer be kept (for example, the hold expired and the spots ran out), the amount is refunded automatically.

6. Timing and results

The result is produced by the event's timing, done by the organizer or by whoever the organizer hires, with the platform's tools. Live results are provisional; the official result is the one published by the organizer, who may correct it. Complaints about times, rankings or disqualification must be made to the organizer, under the event rules.

The result is public, as explained in the Privacy Policy: the name of a registered athlete under the age of majority appears only as initials, the name of each team member appears in full, as typed in the registration, with no age check (or all only as initials, if the athlete of the registration is under the age of majority), and the date of birth is not published.

7. Organizer

The organizer signs up with a public name, country and mobile phone and accepts these terms. The sign-up is approved by Ayan Labs before the organizer publishes events or receives payments. For paid sales, the organizer provides the full name or legal name and the CPF or CNPJ and completes the setup of the payout account at Stripe or of the Pix key for payouts; to pre-fill the account at Stripe, the platform sends Stripe the organizer's country, full name or legal name and CPF or CNPJ.

The organizer undertakes to: publish true and complete information about the event, the rules, the prices and the cancellation and refund rules; run the event as announced; obtain the necessary permits; support the participants; make the refunds that are due; and keep under control the people to whom it gives access to its events (for example, timing and check-in), being responsible for their actions.

Ayan Labs charges the platform fee informed to the organizer, which may be passed on to the athlete as a service fee or absorbed by the organizer, according to the event settings.

Support: to solve a problem reported by the organizer, the Ayan Labs administrative team may access the organizer's dashboard through a temporary support session (up to 8 hours). In it, the team may do what the organizer would do in the dashboard and in the account's Athlete area (with the athletes and dependents linked to it), including seeing the financial screens and recording a payment made outside the platform or a complimentary entry, but it does not change the payout accounts (Stripe, Pix), does not request payouts, does not make refunds and does not link a Google account to the organizer's account. The start and end of the session, each change made in it and the spreadsheet exports are recorded in the audit log. A timing device paired in this session remains paired until the organizer revokes it; if the team changes the password or ends sessions of the account at the organizer's request, the support session ends. The session appears in the organizer's list of sessions, and the organizer can end it at any time.

Ayan Labs may suspend the publication of events or block the organizer in case of fraud, risk to participants or breach of these terms; a blocked organizer cannot access the dashboard.

8. Processing of personal data by the organizer

For the registration, the timing and the results of its events, the organizer is the controller of the participants' personal data, and Ayan Labs is the processor, under the LGPD (Brazilian Law no. 13.709/2018). Ayan Labs is an independent controller of what it processes for its own purposes: the access account, security, the athlete's sports history (RACE_ID), the platform's communications and its legal obligations.

As processor, Ayan Labs: processes the data only to provide the platform's functions, according to these terms and the settings made by the organizer; maintains security and confidentiality measures; uses the suppliers listed in the Privacy Policy; helps the organizer respond to data subject requests; notifies the organizer of any security incident affecting the data of its events; and, when the organizer leaves the platform, keeps the data only for the periods of the Privacy Policy and of the legal obligations.

The organizer undertakes to: have a legal basis for what it asks for in the registration and for the use it makes of the data; ask only for the data necessary for the event; use the list of entrants and the exported spreadsheets (which include contact details and the details of the minor's guardian) only to run the event and for the legitimate purposes informed to the participants; protect the copies it downloads; not sell or transfer the data to third parties without a legal basis; respond to data subject requests about the data of its events; and notify Ayan Labs, at contato@raceresult.com.br, of any incident involving this data.

The organizer's communications to its own entrants about its next editions and other events must respect the choices recorded in the registration and the request of anyone who no longer wants to receive them. Promoting sponsors does not include handing over the list of entrants.

9. Acceptable use

It is not allowed to: use the platform for fraud or for illegal purposes; register using another person's data without authorization; try to access other people's accounts, tickets or data; collect data from the platform in an automated way; get around limits, checks or security measures; or disrupt the operation of the platform.

10. Content and intellectual property

The software and the content of the platform, except what organizers and users publish, belong to Ayan Labs or to its licensors. The organizer keeps the rights to the event content (name, description, images, logo and rules), declares that it has the right to publish it and authorizes Ayan Labs to display it on the platform to promote the event and the results.

11. Availability and liability

Ayan Labs works to keep the platform available and secure, but there may be interruptions for maintenance or due to third-party failures (for example, of the internet or of payment and infrastructure providers). The platform's functions may be changed or improved over time.

Ayan Labs is liable for the damage it causes in providing its services, as provided by law. The running, organization and safety of each event are the organizer's responsibility.

12. Termination

You may stop using the platform whenever you want and request the deletion of your data as explained in the Privacy Policy. The organizer may stop using the platform after fulfilling its commitments to the participants of the events already sold (holding the event or refunding) and after receiving the pending payouts.

13. Changes to these terms

These terms may change. The new version will receive a new number and an effective date, and the previous versions will remain available at their own address (for example, raceresult.app/en/legal/terms/v1). Relevant changes will be announced on the platform or by email, and the new version may require a new acceptance by the organizer.

14. Governing law, venue, contact and language

These terms are governed by the laws of Brazil. The courts of the district of Belo Horizonte/MG are chosen as venue, without prejudice to the consumer's right to bring an action in the courts of their domicile.
